Job Description

Title:  Administrative Assistant / AR Clerk

Spherexx is looking for a motivated entry level Admin / AR clerk. The ideal candidate must have an eye for detail and willingness to learn. This position will provide financial, administrative and clerical services to ensure accuracy and efficiency of operations.

 Starting salary is $12-$16 per hour, depending on experience.


  • Banking, shipping & post office runs including kiosk & tablet shipping
  • Phone duties -- field all calls for the company and work in a rotation with others that also cover the phones
  • Manage requests for materials and equipment & prepare purchase orders.
  • Assist with 1099's and monthly/quarterly invoice preparation/mailing.
  • Track inventory and company owned equipment for insurance and depreciation schedules.
  • Prepare appropriate schedules and reports as requested by owner, clients, and partners.  This includes any project needs which could be on numerous topics
  • Oversee all travel for all departments – including scheduling hotel, airfare, rental cars and finding deals with Groupon or points from credit cards.
  • A/P & A/R Filing
  • Assist with Tradeshow & Employee Recruiting Events
  • Manage our in-house client database, Matrixx.  Help make workflow suggestions/enhancements to our programmers to make this database even better!
  • Assist with collecting client account debt older than 60 days.
  • Assist with any recruiting needs along with planning & implementing employee enrichment events.   Also assisting with every other month company lunch meetings.
  • Assist with Inbound Marketing Projects (i.e. craigslist, HubSpot, social media channels, etc) in any capacity. 
  • Prepare contracts as part of the sales & pre-billing process
