Job Description

If you are great at multi-tasking and enjoy orchestrating many people to come together to complete a task then you will LOVE this position. Some days you will be on the phone all day with clients and vendors and other days you will be compiling data and typing updates into project assignment notes.

This position will be responsible for the coordination and completion of web development projects (billable and non-billable). You will oversee all aspects of projects by setting deadlines, assigning responsibilities, monitoring and summarizing progress of projects. Project managers are responsible for preparing reports regarding the status of projects; lead and direct the work of others; create and maintain templates for project management time tracking. This is the perfect opportunity for graphic artists and/or website developers!

Key Responsibilities

  • Identify resources needed and work with all agency functions to assign individual responsibilities.
  • Create and execute project work plans and timelines in software tracking system.
  • Revise all plans & timelines to meet changing needs and requirements including change orders.
  • Manage day-to-day operational aspects of a project and scope.
  • Open each job, assign tasks & create change orders in software tracking system.
  • Provide appropriate job specifications while carefully documenting client goals and needs.
  • Lead project scoping.
  • Effectively communicate relevant project information to design and production teams.
  • Work with production to create appropriate production schedules.
  • Route work between all responsible people in all stages of development.
  • Convey project changes and updates only to appropriate team members.
  • Facilitate team and client meetings to review work.
  • Prepare regular status reports and distribute internally and externally if necessary.
  • Hold status meeting with project team on as needed basis.
  • Review deliverables prepared by team before presenting to client.
  • Ensure documents and major digital assets are complete, current, and stored appropriately.
  • Resolve and /or escalate issues in a timely fashion
  • Manage both internal and external approvals.
  • Monitor scope creep and re-scope projects if necessary.
  • Ensure project legal documents (photo releases, property releases, etc.) are completed and signed.
  • Manage intellectual property for Spherexx and clients.
  • Assist in sketching ideas for the storyboards and wireframes and work with the graphic designers to build the presentation boards and frames.
  • Make training recommendations to supervisors for web developers and app developers when a deficiency is noted in work output that is falling chronically over budget.
  • Consideration of ongoing goal to provide a quality user experience across our digital projects with high conversion, so our return on investment is high with clients. This will help ensure ongoing repeat business and client referrals.

Project Accounting

  • Understand client contracts and billing procedures.
  • Initiate pricing/estimating process.
  • Track and reports costs and expenses.
  • Manage project budget.
  • Ensure timely and accurate invoicing and monitors receivables for project.
  • Analyze project revenue and profitability.

Technical Understanding

  • Possess general understanding in the all agency departments.
  • Understand hosting, internet, intranet, extranet and server applications.
  • Possess a good understanding of agency’s internal capabilities.
  • Aware of past, new and emerging technologies and the potential application on client engagements.
  • Make suggestions for infrastructure planning for company growth.
  • Complete search engine optimization training certifications

  • Bachelor's degree in accounting, web development, graphic design or related real world project management experience
  • At least 1 year work experience required
