POSITION TITLE:  Client Service Specialist

SUMMARY:  The Client Service Specialist is responsible for providing continuous customer service to the clients, customers, and personnel of Affinity Group.  The client service specialist utilizes technology to place orders, maintain systems/financials, file documents and communicate information.  This role acts as a resource to support the advancement of sales efforts while contributing to overall business development.  The position also includes some inside sales and suggestive selling techniques.

Duties and Responsibilities:

  • Represent Affinity Group in an ethical and professional manner.
  • Answer phones; direct messages, monitor faxes.
  • Order, monitor, pack/unpack and put away samples.
  • Maintain accurate filing system – Hard copy, outlook, shared drives
  • Provide ideas for growth of current business.
  • Maintain up to date SOP’s for all assigned clients, duties, and activities
  • Monitor office supplies, paper, toner
  • Maintain necessary mailings: ads, flyers, point of sale, etc.
  • Process orders according to client requirements, including lead time and minimums
  • Review orders, confirmation/invoices for pricing, item, quantity, and delivery accuracy
  • Assist with financial/logistical issues that may interfere with the placement or shipment of orders.  i.e. credit referrals, credit holds, late/no show trucks, etc.
  • Work efficiently within FoodMark to ensure the accuracy of rates, specs, price lists, Manufacturer/Distributor relationships and all functions of the system.
  • Assist clients with deductions management and collection of open invoices
  • Manage required client financial and order platform systems as necessary
  • Assist Client Service/Finance Manager with information and paperwork necessary to reconcile commissions and accounts receivables for Affinity Group financials.
  • Respond in a timely manner to any request for information from management, clients and/or customers.
  • Know and execute all opening and closing office procedures.
  • Other duties as assigned and requested

Knowledge, Skills, and Abilities:

  • High school degree required, college degree preferred
  • Previous customer service experience is a plus
  • Experience in the retail or food service areas is extremely advantageous
  • A positive, professional, and proactive attitude.
  • Strong communication skills.
  • Adept at building trust and credibility
  • Planning and organizational skills
  • Works well with teams and has strong motivational skills
  • Strong problem solving and strategic planning skills
  • Able to navigate and use Microsoft Office suite of products (Word, Excel, PowerPoint, and Outlook)

Supervisory and Reporting Responsibilities:     

  • This position does not have supervisory responsibilities
  • Reports to Client Services Manager

Physical Requirements/Working Conditions: 

  • Candidate must be able to perform the essential functions of the job.
  • Work may be performed in an Affinity Group office or warehouse environment.
  • Periodically requires the ability to stand for extended periods of time at trade shows.
  • Flexible work hours to accommodate demands of position (some weekends included).
  • May require travel up to 75% of the time within territory.
